This Privacy Policy explains how ShootPortal LLC, a Washington limited liability company ("ShootPortal," "we," "us") collects, uses, and shares information when you use our website and services (the "Service"). By using the Service, you agree to the practices described here.
We share information within your organization according to the permissions you set, and with service providers ("sub-processors") who help us run the Service — for example, hosting infrastructure, payment processing, and email delivery. Our current sub-processors are Vercel (application hosting) and Supabase (database and file storage), along with Stripe for payment processing; a current list is available on request. We do not sell your personal information. We may disclose information if required by law or to protect the rights and safety of ShootPortal or others.
When you sign a document through ShootPortal, we keep a record of the signing for the organization that sent it: your signature, your name, the time, and details of the device and connection used — the IP address, the browser, and an approximate location worked out from the IP address (city, region and country).
Some documents also ask for an identity capture: a photo taken live with your camera, either while you sign or when you send back a signed paper form. It's kept with the signed document so the paperwork stays attached to the right person — ShootPortal doesn't use it to check who you are. It can't be chosen from your files and isn't a profile photo. It becomes a page of the signed document and is also kept as a separate file with the record.
When the document is for a child, two photos are taken: one of the child, and one of the adult signing on their behalf. Both become pages of the signed document and are kept with it.
Some documents can also be signed on paper. If you choose that, the details you type are put on a form that's kept with the document, and you send back photos of the signed pages, taken with your camera — those photos become the signed document. ShootPortal doesn't see the paper being signed, so the time, IP address and approximate location recorded with it are from when you send the photos. If the document asks for an identity capture, it's taken then.
Signed documents and identity captures are stored privately and travel only over encrypted connections. They're shown only to the organization that holds the record and the people it authorizes; they're never public and never shared with another organization. ShootPortal's own staff don't look at them in the normal course of running the service — we open them only to keep the service working, when you ask us for help, or when the law requires it. They're kept for as long as the document is (see Data retention below). Because the photo is part of the signed document itself, it can't be taken out of that document without invalidating it.
Because productions on the Service often involve child performers or other minors, the account holder who adds a minor's information to a production is responsible for obtaining any parental or guardian consent required by applicable law before doing so. We do not knowingly allow minors to create their own ShootPortal accounts. If you believe a minor has created an account directly, or that a minor's information was added without appropriate consent, contact us at support@shootportal.com and we will investigate and remove it as appropriate.
We use cookies and similar technologies to keep you logged in, remember preferences, and understand how the Service is used. You can control cookies through your browser settings; disabling some cookies may affect Service functionality.
We are based in the United States and process information on servers located there and, where applicable, through our sub-processors' infrastructure. If you access the Service from outside the United States, your information will be transferred to and processed in the United States, which may have different data protection laws than your jurisdiction.
Depending on where you live, you may have rights to access, correct, delete, or export your personal information, to opt out of certain processing, or to lodge a complaint with a supervisory authority — including rights under laws such as the EU/UK GDPR, the California Consumer Privacy Act, and Washington State privacy law (including the Washington My Health My Data Act, to the extent it applies to information you provide). To exercise these rights, contact us at support@shootportal.com; we will respond within the timeframe required by applicable law. You can also access and update most account information directly in the Service, or ask us to delete your account.
We retain information for as long as your account is active or as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements, and we use reasonable technical and organizational safeguards to protect it. No method of transmission or storage is completely secure.
We may update this Privacy Policy from time to time. We'll post the updated version here with a new "Last updated" date, and for material changes we'll provide additional notice as required by law.
